Job Title: Sales Administrator


Job Description:  The sales administrator is responsible for the timely and accurate processing and follow-up of all paperwork related to the agreement of purchase and sale.  They will liaise with sales representatives and other department representatives on a daily basis to ensure that all processes are followed through with and final paperwork is in hand to execute our homeowner obligations. 

 

Reports to: Manager, Community Marketing

 

Description: The Sales Administrator is responsible for, but not limited to, the following tasks:

 

Paperwork Processing and Follow-Up

-     Processing of all agreements of purchase and sale, amendments, decor

    options and other related paperwork as it is received

-     Running and checking weekly variance reports and following up as

     necessary

-    Follow-up with sales representative using Sales Exception Report

  Complete filing and ensuring all necessary documents are maintained

    and organized

-     Assist with the closing procedures (i.e. pulling files, printing off Notice

    of Sales, Sales Memos, Account balances)

-     Make sure all sales manuals are up to date

  Homeowner Communication

  Answering and responding to homeowner inquiries (escalating as

   necessary)

-    Prepare mail merges for homeowner communication in regards to

   delays, registration, land developments, events, etc.

-  Correspond with purchasers as necessary through email, phone, etc.

    when asked

Other duties

-   Provide support at marketing events when required

-  Other duties as required

 

The Sales Administrator must be:

-    Very well organized and detail oriented

-   Excellent customer service skills

-    Be able to multi-task

-   Have computer skills and ability to learn new software

-    Work well alone or as a member of a team

-   Have good verbal and written communication skills

-    Self motivated

-    Experience in new home building industry is an asset
